Your guide to notes, projects, Google Calendar, and a connected workspace.
Find your way around
Open overviewOne workspace for documents, projects, schedules, and sketches.
- Select Sign in with Google in the homepage or workspace header to open Google authentication. If Google is not configured, the login page explains the setup requirement. After sign-in, the header shows your account and opens Dashboard. This browser remembers a rolling 30-day session unless you sign out or clear cookies. Local preview is separate from your signed-in cloud workspace.
- Overview welcomes you by name and shows resource counts, today?s schedule, upcoming events, task progress, and search. Open the profile icon for your email, workspace, access level, Calendar connection, settings, and Log out.
- Use the sidebar on desktop or the menu button on mobile to change tools. Choose Arrange sidebar, drag an item by its grip, or use its up/down buttons; choose Done arranging to finish.
- Check the header status before closing the page. Settings explains account, sync, profile, and backup controls.
Write, summarize, and follow activity
Open notesA rich-text editor with an informative right-hand panel.
- Create, nest, search, and pin notes in the document tree. Rename the selected note with its pencil button, or double-click a note title in the left sidebar; press Save to apply or Escape to cancel. The editor opens directly at its toolbar without a duplicate title bar. Use headings, lists, checklists, code, links, and highlights while writing.
- Embedded diagrams start as read-only previews. Open large view (the expand/zoom icon) to edit in the full Excalidraw editor, matching the Diagrams page. Use the canvas menu to change the background; select a shape to open its color controls. The chosen background remains visible in the note and is saved with the drawing.
- The right-side Summary tab extracts points from the note itself. It is a content overview, not an AI-generated interpretation.
- Use Make task beside a summary point to create a linked task in your first board. A board is created if none exists.
- Outline shows formatted H1, H2, and H3 headings and lets you click a heading to jump to it. Insert example headings adds Project plan (H1), Goals and Next steps (H2), and First action (H3). To add your own, select a line and choose Heading 1, 2, or 3 in the toolbar. Bold text or Markdown syntax alone is not a heading.
- Activity is newest first. Click an entry to open its Notes, Boards, Calendar, or Diagrams destination. Editing an item stays grouped in its place; new actions are added at the top. Choose All workspace activity for a wider view. Activity is not full document version history.
- The latest 200 activity entries are retained. Continuous typing within 30 seconds is grouped.
- On smaller screens, open the collapsed right-side panel when needed. Open Note details in the editor footer to see the author (when known), last update, and Export note. Autosave is automatic; a brief message confirms browser or cloud saving, while failures stay visible.
Turn ideas into actions
Open boardsManage tasks and connect them to your calendar.
- Create a named board, switch projects, rename the title, or delete a board and its tasks after confirmation.
- Add a task, enter its details in the task dialog, and optionally check Add to calendar. Set a due date/time and duration to reserve a slot automatically. Changing the task updates its linked workspace event; unchecking removes its local slot. Published Google events are managed separately in Calendar.
- Switch boards using the searchable dropdown. New board creates another board in that dropdown. Add column adds a workflow stage; click any column title to rename it. Renaming the original completion column preserves its meaning.
- Use Add task in a column, then click the card or its pencil to edit the title, description, priority, due date, and assignee. Drag with the grip, or focus the grip and use Space, arrows, and Space again. The raised preview and highlighted destination show the move.
- Create a team to assign tasks to roster members. Filter a board by assignee or priority.
- Tasks created from a note have an Open source note link.
- Schedule in calendar creates one linked event using the task's due date, or tomorrow at 9 AM if no date is set. Open that event to choose Google publishing and reminders.
Connect Google Calendar
Open calendarKeep your planned work and Google events close together.
- Connect Google and grant Calendar permission. Your selected Google calendar loads automatically on Calendar and Overview, then refreshes every minute while visible and when you return to the window. Your selection is remembered per account in this browser. Personal Google events stay outside shared workspace data.
- The import window covers 90 days before today through the next year and up to 2500 events. The UI reports when additional results exist.
- Week view shows 30-minute time cells with events sized by duration, overlapping events side by side, an all-day row, and a current-time line. Click a cell or Create and choose Event, Task, or Note. Tasks use that cell?s time as their deadline; notes get a linked calendar entry. Times use your device timezone.
- Use Week, Month, or Agenda to browse events, including all-day and multi-day events. Board due dates appear even without a reserved slot; deadline markers and completion checkboxes show task status. The Calendars menu combines all filters. The Google switch controls visibility, while the account selector and Refresh sit on the right. A Connect button appears only when Google is not connected. Select Save to Google Calendar to publish to the selected calendar; existing Google events keep their original calendar.
- Choose a popup reminder and optionally request an email reminder. Google handles reminders according to account and device notification settings.
- Deleting an event opens an in-app confirmation dialog. A complete Google refresh hides remotely deleted imported events within the loaded date window. Partial refreshes preserve cached events. Recurring series are shown as individual occurrences.
Sketch and connect your thinking
Open diagramsUse a drawing canvas alongside your written work.
- Create, rename, find, duplicate, or delete a drawing from the gallery.
- The canvas fits the whole drawing when opened. In a note, Edit drawing opens a simpler canvas with an always-visible color palette. Choose Reset view to fit the full drawing again if you zoom or pan away.
- Use Excalidraw shapes, arrows, text, and freehand tools. Export drawing downloads an editable .excalidraw file.
- Drawing data and image files are stored with the workspace; large images may exceed browser or cloud limits.
- From Library, choose Write notes beside a diagram to create a note that links back to the drawing.

- Filter by Notes, Boards, Tasks, Events, or Diagrams, then search by title.
- Open any item to continue in its own tool.
- Schedule a task directly from Library, or create notes about a diagram.
- Resource totals and Analytics update from the same shared workspace data.
See your progress
Open analyticsRead live counts and completion progress.
- Filter by Whole team, Only me, or one member. Personal task totals use assignees; note and diagram totals use recorded creators.
- Ranking can use completed-task count or completion rate. Equal scores share ranks; members without assignments are unranked. Unassigned tasks appear in whole-team totals only.
- Each board shows completed tasks relative to its total.
- A task is complete if marked complete or placed in a completion column. Renaming that column preserves completion. Older unattributed notes and drawings appear only in all-work totals. These are current totals, not historical productivity or effort measurements.
Share a team workspace
Open teamOne creator admin, verified members, and server-checked access.
- Signed-in users choose a workspace in Team. Create shared team enables invitations for your current workspace; existing preview-only roster assignments are cleared while content stays.
- The creator is the only admin. Create an invitation with a Google email and Edit or View access; use Copy invitation link and share the generated link privately. If email delivery is configured, choose Send invitation and optionally Send me a copy. Otherwise, create an invitation and use Open email app or Copy invitation link. The app reports delivery acceptance or failure; acceptance does not guarantee inbox delivery.
- Invitations stay Pending until the invited Google account accepts. After acceptance, the invitation disappears and the person appears as an Active member. The Team list refreshes every 30 seconds while visible and on window focus. Unaccepted invitations show Expired after seven days. After acceptance, choose the shared workspace in Team.
- Only the creator can change roles, revoke invitations, or remove members. Removing a member unassigns their tasks; creator identity remains recorded.
- View members browse through a read-only surface. Editors can update content. Refresh workspace loads teammates' latest changes; conflicting saves need review rather than automatic merging.
- Local preview retains a browser-only roster without shared access. Real Google, database, and multi-user behavior still requires live verification before deployment.
Manage your account and backups
Open settingsKeep control of your data and sync state.
- Open the profile icon in the top right and choose Log out to end your session. Your Google account opens an isolated cloud workspace. Signing out returns to the separate local preview; signing out does not delete the saved workspace.
- Workspace owners can use Delete workspace in Settings. Download a backup and type DELETE in the dialog to permanently remove content, team membership, and invitations. You return to an empty personal workspace; Google Calendar events and your Google account remain. Arrange sidebar lets you drag navigation items by their grip or use up/down buttons. Done arranging closes the controls. Reset default order restores the original list. The order is saved with the current workspace.
- Edit your display name and focus. Your focus appears on Overview. Signed-in changes sync to your account and a browser draft is kept for recovery.
- Preview data never uploads automatically. To move it to your account, export a preview backup, sign in, and explicitly restore it.
- Export workspace downloads a JSON backup. Review item counts before replacing data with a restored backup. Restore replaces the active workspace; it does not merge.
- After an outage, Retry sync clears identical pending copies or resumes saving when the cloud revision has not changed. If review is still needed, export your draft, then choose Keep browser version to save it online or Load cloud copy to replace it. Both choices explain what changes; newer teammate edits still block stale saves.
- Cloud saves are debounced; wait for Cloud saved before closing. Browser drafts are retained after failed saves, but clearing site data removes them. A secure-connection error needs the administrator to check Atlas network access and cluster status. Retry in Settings after connectivity is restored; export unsynced work before loading a cloud copy.
Explore the 3D website
Open homepageA moving hero, physical objects, and a pencil cursor.
- The hero scene and its panels move automatically. Pause motion to keep them still; dragging or keyboard arrows take manual control.
- Scroll through the notebook, board, calendar, and diagram scenes to reveal writing and connections. Smooth page navigation and consistent scrollbars are used throughout; nested workspace panels scroll independently.
- Select a workflow step to change the 3D notebook and checklist. Open FAQ cards for answers, or use the closing spark button to change the paper scene. These demonstrations do not create workspace data.
- On a desktop pointer, the public homepage uses a pencil cursor. The dashboard retains the normal cursor for editing.
- Reduced-motion preferences stop automatic motion and smooth scrolling. Touch devices keep normal scrolling and do not use a custom cursor.
Review monthly reports and task alerts

- Overview has a separate Pending tasks section. Select a task to open its board and task details. Calendar deadline markers include tasks without reserved slots.
- Analytics separates early/on-time completions, late completions, currently overdue tasks, and per-task deadline timing.
- Your report is anchored to your first Google sign-in date. Before one month is complete, Reports shows current workspace totals and recent activity while the first report prepares. Deadline timing is counted only when completion dates were recorded. Afterward, each completed cycle compares tracked task completions, notes, late work, and overdue tasks with the prior cycle.
- The bell lists report-ready and task deadline notices. Mark them read in the menu; notices expire after 30 days. Alerts are generated when your signed-in workspace checks the notification API, not by a background scheduler.
- Guests can use Analytics, Notes, Boards, and Diagrams in local preview, but Calendar, Team, and Monthly reports require sign-in.
- Use the numeric Text size field in Notes to change document size. In Excalidraw, use Text size to change new labels or resize selected text. Calendar Week arrows move one day per click. Use the horizontal scrollbar above the dates or swipe the grid on narrow screens. Today or Back to today restores the current week, brings today into view, and resets to 08:00. Click outside a task/event dialog to dismiss it.
Accounts, privacy, and sync
Sign in with Google for an account-scoped MongoDB workspace. Preview data stays local unless you explicitly restore it into your signed-in workspace. Calendar events can be published to Google with popup and optional email reminders. Configuration and live Google testing are required before deployment; shared-team access uses explicit invite links and server roles. Live verification is still required; realtime co-editing and recurring-event editing are not included.
